Who can use Interlibrary Loan and Scan & Deliver services?

ILL access is available to currently registered OSU students, emeritus faculty and staff with a valid ONID account.  First-time users must register for ILL and Scan & Deliver services using their ONID.  For more information about your ONID, please visit OSU Network IDIf you are an institution looking to place a request, see ILL Services for other Libraries and Institutions.

Do I need to use my ONID to place a request?

Yes.  Registering in ILL with your ONID email and mailing address enables us to notify you promptly and deliver materials accurately when your request arrives.  If you are unable to access your ONID email, we suggest you connect with the OSU Service Desk.

How do I place a request?

What if I’m an Ecampus student or remote employee?

You may submit your request through your ILL account.  When entering your account information, select the Status field which indicates you are either an Ecampus student or a Remote Faculty or Remote Staff.  Physical items will be shipped via FedEx to the address registered in your ILL account and should be returned via trackable shipping.  Ecampus students: see more info here.

What if I'm not enrolled for credit or not currently employed with Oregon State University?

ILL access is only available to currently registered OSU students, emeritus faculty and staff with a valid ONID account.  We do not offer Interlibrary Loan and Scan & Deliver services to the public.

Are articles and book chapters screen reader friendly?

We can't guarantee that everything that comes through ILL will be screen reader accessible because not all institutions have the capability of providing smart PDFs. If you need your documents OCR'd (Optical Character Recognition), please leave a note when you submit your request, email valley.ill@oregonstate.edu, or phone at 541-737-4488 and we will work to see if we can find a solution. We understand that this is not a standard practice amongst ILL departments, and we are advocating to have this standard changed.

Textbooks:

Requesting current textbooks through ILL is not a recommended option.  It can be difficult to find a library which owns or will lend a specific textbook. We will attempt to borrow these types of materials, but we are usually unsuccessful and it is unlikely that a textbook request will be filled.  ILL cannot serve as a substitute source for current course material.  (For more information about course reserves, click here.)

Statuses you might see on your ILL request:

ILL Request Status What Does This Status Mean?
Awaiting Copyright Clearance Requests in this queue are usually articles are missing some citation information, like an ISSN, or volume or page numbers. Staff will need to investigate to complete the citation.
Awaiting Request Processing Requests in this queue are waiting for staff to determine the libraries we want to try to borrow from.
Awaiting Unfilled Processing Requests in this queue were unable to be filled, and are waiting for staff to find more lenders or determine an alternate course of action.
Awaiting Intermediate Processing Requests in this queue are usually rarer items, or harder to request. This will often include international or old books and conference proceedings, or other items library staff need to research deeper to attempt to borrow.
Awaiting RAPID Request Sending Requests in this queue are waiting to be sent by the system to participating RAPID libraries. These are usually articles and should be out of the queue fairly quickly.
Awaiting RAPID Local Request Processing Requests in this queue are usually articles where OSU owns the journal. These will be filled via Scan and Deliver.
Customer Notified via E-Mail Requests in this queue are waiting to be picked up. The patron has received a hold notice letter and the item is on the hold shelf.
Contact Made and Awaiting Response If a request is in this queue, library staff are attempting to contact the patron for further information. Library staff may cancel the request if they do not receive a response.
CR/Textbook Contact Made If a request is in this queue, library staff suspect this may be a current textbook and are attempting to contact the patron for further information.
Checked Out to Customer Requests in this queue are checked out to the customer.
Request in Processing Requests in this queue are currently being worked on by OSUL staff.
Request Sent Requests in this queue have been sent to partner libraries and will hopefully be on the way, if a lender is found.
Request Finished Requests in this queue are finished.
Delivered to Web Requests in this queue are articles that have been delivered and should be accessible through your ILL account as well as through an email.
Cancelled by ILL Staff Requests in this queue have been cancelled, usually because the item is not borrowable for some reason.

Scan & Deliver

What is Scan & Deliver?

Scan & Deliver is a service that provides quick, easy access to OSU Library's physical print collection (including microforms).  Library staff will scan and deliver requested journal articles and book chapters electronically to your ONID email.

Who can use Scan & Deliver?

Scan & Deliver is available to currently registered OSU students, and current faculty and staff with a valid ONID account.  For information about your ONID, visit OSU Network ID.

How do I request a scan from this service?

Submit Scan & Deliver requests through your ILL and Scan & Deliver account. To place a request or register for Scan & Deliver service, login here.

Does Scan & Deliver have any limitations?

  • Yes. Requests exceeding the following limits will not be scanned. You will be notified via email if the journal volume or book will be held for you at the Borrowing & Information Desk for 7 days.
  • Scan & Deliver service does not include the following:
    • Copying from personal material
    • Requests (single or combined) over 50 pages, or more than 30% of a journal or book
    • Scans from items on Course Reserve
    • Items requested through ILL or Summit 
    • Maps
    • A/V items
    • Archival material
    • Materials from Special Collections, Avery Hall, and Cordley Hall

What if I'm an Ecampus student or a remote employee?

We will scan up to 100 pages for a single request.  If the request exceeds 100 pages, you will be notified via email if we will ship the journal volume or book to you instead.  If you don't want the material shipped to you, please reply to the email notification within 1 business day.  You are responsible for returning the item back to the library.

Delivery, Checkout, & Return

How long is this going to take?

  • Articles: usually delivered to your ILL account in 13 hours.
  • Physical materials: usually 2-7 days; could take 8-10 business days depending on factors listed below:
    • Delivery speeds depend on requested material, lender availability, staffing, geography, and consortial agreements, to name a few.  As a member of the Greater Western Library Alliance, RAPID ILL, and Summit, we strive to provide access to items within a short turnaround time.

Where do I pick up the material?

  • Loans will be available for pickup at the Borrowing & Information Desk at Valley Library, and the Guin and OSU-Cascades Library's front desks.  If an item is restricted to "In Library Use Only", it will be available for use at the Special Collections and Research Center on the 5th floor.
  • Articles are posted electronically to your ILL account.  You are notified via ONID email when they are available for viewing and will remain accessible for 21 days.
  • If you are an Ecampus student or remote faculty and staff, your ILL materials will be shipped to you.

Can someone else other than myself pick up my ILL item on my behalf?

This service is only available to faculty.  Proxy user applications are available online or at the Borrowing & Information Desk.  Bring the completed form and your OSU ID to the Circulation Desk of the Valley Library.  After the application has been processed, proxy borrowers will need to bring their own OSU ID when they pick up your ILL materials. 

Where and how do I return my ILL material(s)?

ILL material should be returned to one of our OSU Library locations (Valley, Guin, or OSU-Cascades Library). Return all ILL material with the original ILL paper band and any included paperwork.

What if I need to ship my item back to the library?

  • If you need to ship the item back to the Valley, Guin, or OSU-Cascades Library, please be aware that you are responsible for the item until it is received by one of our library locations (Valley, Guin, or OSU-Cascades Library).  To return directly, we recommend that you use trackable shipping and insurance coverage.

What if I return my ILL item in late?

  • Since ILL materials belong to other institutions and are not owned by OSU Libraries, ILL materials accrue overdue fines and lost book fees for all patrons.
  • Overdue fines: 50 cents per day up to $20.00
  • Recall* (overdue) fine: $2.00 per day
  • Lost ILL item fee: $100.00 plus accrued overdue fines

*Recalled ILL materials are materials in which the lending institution has requested for the immediate return.

What if I damage my ILL item?

If you damage your ILL item, we strongly encourage you to contact us first before providing a replacement copy.  We will connect with the lending institution to see if they will accept a replacement copy.  If they do not, you will be charged a replacement fee.

Terms and Conditions

How long will my items be available to me?

  • Loans are held for 7 days.  Unclaimed items will be returned to the lending institution.  If you need more time, contact our office.
  • Articles are accessible on your account for 21 days before they are automatically deleted.

How do I renew my ILL material?

Renewals are granted at the discretion of the lending library.  If you are requesting a renewal on or after the due date, contact our office. Only one renewal is allowed for ILL materials. We recommend submitting a renewal request 2-5 business days in advance of the due date. To renew ILL materials, login to your ILL account.  Click "Renew" next to the "Checked Out Items". 

Alternatively, click on the "Actions" dropdown button and select "Renew".

 

How do I know if my renewal went through?

You will receive an email notification updating you on the status of your renewal request.  Keep in mind that the renewal is at the discretion of the lending library and is not guaranteed.

Is my item subject to recall?

Yes.  All library material is subject to recall, including materials from other institutions.  If your library material is recalled, you will be notified via email of your new due date.  The material must be returned by that new due date.

I have questions about Copyright:

The copyright law of the United States (Title 17, United States Code) governs the making of photocopies or other reproductions of copyrighted materials.  Under certain conditions specified in the law, libraries and archives are authorized to furnish a photocopy or other reproduction.  One specified condition is that the photocopy or reproduction is not to be "used for any purpose other than private study, scholarship, or research."  If a user makes a request for, or later uses, a photocopy or reproductions for purposes in excess of "fair use," that user may be liable for copyright infringement.  OSU Libraries reserves the right to refuse to accept a copying order, if, in its judgment, fulfillment of the order would involve violation of copyright law.  For more information, please visit the OSU Libraries copyright guide or Copyright Resources.

How should my institution request OSU's materials?

If you are an OCLC institution, submit an OCLC request.  For non-OCLC participating institutions, register for an OSU ILL account using the "New Institution Registration" before requesting materials. Do you supply screen reader friendly articles and book chapters?

Yes. All electronic materials supplied to institutions are screen reader accessible.

What if I'm interested in an OSU Master's Theses or Ph.D. Dissertation?

Our Theses and Dissertations are freely available online via our ScholarsArchive.  For more information, contact ScholarsArchive.

What if I'm an individual and need material from OSU's collections?

  • If you are unable to visit the library in-person, please contact your local public library for interlibrary loan services.
  • We do not supply materials from OSU's Special Collections and Archives Research Center.  However, they may be able to supply some materials upon request.  Contact Special Collections for more information.
  • We do not supply materials from Cordley Hall, Avery Hall, or our Veterinary Medicine Library.
