Gift Acceptance Policy

Note: The policy and procedures below do not apply to unique, thoughtfully collected, and research/curriculum relevant collections offered to or solicited by the OSU Libraries for the general collections or to those collections offered to the Special Collections and Archives Research Center (SCARC).


Because library collections continue to move online and library spaces are increasingly repurposed to support individual and group study and learning, the OSU Libraries is highly selective in adding unsolicited gifts-in-kind to the collection. Although the majority of items donated are not added to the collections, the OSU Libraries continues to accept donations of books, serials, and other media. Materials not added are sent to OSU Surplus and sold through an open bidding process. Any funds received from the sales are used to purchase new resources for the library.

Upon request of the donor, we will provide a letter of acknowledgement, but we cannot provide appraisals for tax purposes. For more information, please see Why We Can't be Appraisers.


Of most interest to the OSU Libraries are unique, hard-bound books or high-quality paperbacks written for a scholarly audience that support current OSU curriculum and research interests.

We do not add:

  • Books published before 2000
  • Duplicates of books in any format already in our collection or held by three (3) or more member libraries in the Orbis Cascade Alliance
  • Textbooks
  • Mass-market paperbacks
  • Self-published books unless of local interest
  • Books in poor condition (mold, odors, pages falling out, etc.) or that include highlighting, underlining, or marginal notes
  • Off-prints of journal articles or book chapters


Of most interest to the OSU Libraries are unique serials that support OSU's Signature Areas of Distinction as identified in the University Strategic Plan.

We do not add:

  • Duplicate titles or issues in any format already in our collection or in three (3) or more libraries in the Orbis Cascade Alliance
  • Isolated issues to fill in gaps or serial runs of less than 5 years


Of most interest to the Libraries are media in current formats (e.g., DVDs, compact discs) of artistic, literary, or academic interest. However, we do not add duplicate titles unless they are currently in high demand.

Sending and Receiving Gifts-in-Kind

Using Campus Mail

On-campus faculty can send materials through mailing services: parcels. On the form, include the following in the destination comments field:

  • The number of boxes;
  • That they are heavy;
  • That they are for Valley Library Gifts

Each box should be labeled "Valley Library Gifts" and placed in their building's mailing room.

Gifts-in-Kind Brought to the Library

Donors should make advanced arrangements before bringing materials to the library by emailing Kerri Goergen-Doll (Kerri.Goergen-Doll@OregonState.edu) or a subject librarian. When items are left in book returns or accepted at the Circulation or Information Desks, they should be sent to GIfts on the third floor. If a donor wants a letter of acknowledgement for the item(s), he/she will be asked to complete a gift receipt form, available at the service desks.

Picking Up Gifts-in-Kind

We are not able to pick up gifts.
